Privacy Policy
Privacy isn't an afterthought for us — it's the product. Here's exactly what we do, and don't do, with data.
Last updated: 15 July 2026
1. Who we are
Answerion (“Answerion”, “we”, “us”) builds and runs AI phone receptionists for small businesses. We are a business based in Latvia, in the European Union, and we act as the data controller for the personal data described in this policy. Full registered details are available on request.
For anything to do with your data or this policy, contact us at info@answerion.com.
2. What this policy covers
This policy covers the answerion.com website and our live demo. When we provide the receptionist service to a paying client, we process their callers' data on the client's behalf — there we act as a data processor, and that processing is governed by a separate Data Processing Agreement with the client rather than this policy.
3. What we collect
When you browse the site
Almost nothing. The website sets no cookies, no advertising or tracking pixels, and loads no third-party tracking scripts. Standard server logs (such as IP address and request time) may be processed by our hosting provider to deliver and secure the site.
Aggregate analytics
We use Vercel Web Analytics and Speed Insights to understand how the site performs (page views, referrers, devices, load times). These are cookieless and privacy-first: they don't use cookies, don't build a profile of you, and don't track you across other websites. The data is aggregated and cannot be used to identify you.
When you contact us
If you email us or book a call, we process the details you provide (such as your name, email address, business name, and message) to reply and follow up.
When you use the live demo
The demo is an AI receptionist you can talk to in your browser or by phone. To run it, your speech is processed in real time by our voice technology provider to generate the AI's responses. The demo is for evaluation only — please don't share real sensitive personal data with it.Every caller is told they're talking to an AI at the start of the call.
4. Why we process it, and our legal basis
- To run and secure the website — our legitimate interest in providing a working, safe site (GDPR Art. 6(1)(f)).
- To understand site performance via cookieless, aggregate analytics — our legitimate interest, with no impact on your privacy since no personal profile is built.
- To respond to your enquiry— our legitimate interest in answering you, and to take steps toward a contract if you're a prospective customer (Art. 6(1)(b) and (f)).
- To operate the demo you chose to try — our legitimate interest in demonstrating the service you asked to hear.
5. Cookies
We don't use cookies for tracking, advertising, or analytics — so there's no cookie banner, because there's nothing to consent to. If that ever changes, we'll ask for your consent first.
6. Who we share data with
We don't sell your data. We use a small number of carefully chosen service providers (sub-processors) to run Answerion:
- Vercel — website hosting and cookieless analytics.
- Vapi — the voice technology that powers the AI receptionist and the demo.
- Zoho — our email, used when you contact us.
Where any provider processes data outside the European Economic Area, that transfer is protected by appropriate safeguards such as the European Commission's Standard Contractual Clauses.
7. How long we keep it
We keep enquiry correspondence for as long as needed to deal with your request and for a reasonable period afterwards. Demo interactions are used only to run the demonstration and are not used to build a profile of you. For paying clients, retention of call recordings and transcripts is set out in the client agreement (typically 3–6 months).
8. Your rights
Under the GDPR you have the right to access, correct, delete, restrict, or object to our processing of your personal data, and the right to data portability. To exercise any of these, email info@answerion.com — a person, not a ticket bot, will handle it. You also have the right to complain to your local data protection authority; in Latvia that is the Data State Inspectorate (Datu valsts inspekcija).
9. Security
Data is encrypted in transit, and we limit access to personal data to what's necessary to run the service. No system is perfectly secure, but we take reasonable technical and organisational measures to protect your information.
10. Changes to this policy
We may update this policy as the service evolves. When we do, we'll change the “last updated” date above, and for significant changes we'll do our best to let affected people know.
